Medical Device Technical Documentation: Essential Documents Required for Regulatory Approval

Passing product tests and setting up a manufacturing line only gets you part of the way to approval. Regulators also want proof, on paper, that your device is safe, performs as claimed, and meets the rules of the market you’re targeting. That proof lives in your medical device technical documentation, and it’s often where approvals slow down. So, what is it? Think of it as the full story of your device: what it is, what it’s for, how it was designed and built, and why it’s safe to use. Under the EU MDR 2017/745, manufacturers have to compile this into a technical file that shows the device conforms to the regulation’s requirements. Other markets ask for something similar, though the format and naming vary.

The documents you’ll need

A typical technical file includes:

Device description: What the device is, its intended purpose, specifications, and components. Design and manufacturing information: How the product was developed, which materials were used, and how it’s made. Risk management file: Your risk assessments, prepared in line with ISO 14971. Clinical evaluation report: The clinical evidence that the device is safe and performs as intended. Verification and validation reports: Test results showing the device meets its design specifications. Labeling and instructions for use: Labels, warnings, and the guidance users need to operate the device safely. Post-market surveillance plan: How you’ll track performance once the device is on the market and how complaints will be handled.

Where manufacturers usually get stuck

Putting this together is harder than it looks, especially if you’re juggling several products or selling in more than one region. The same problems come up again and again: records that are missing, information that’s gone out of date, and documents that contradict each other. Any of these can stall a regulatory review. A well-organized technical file won’t remove every hurdle, but it makes assessments far smoother.
